Offer organizational support to the Executive Head of Channel and Executive Head of Operations.
Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics as directed.
Conserve executives’ time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analysing information, initiating telecommunications and appraising the executives.
Maintain executives’ appointment schedules by planning and diarising meetings, conferences, teleconferences and travel.
Attend meetings on invitation by the executives and take notes/minutes as and when required to do so.
Represent the executives in meetings in their absence and speak on behalf of the executive, as per given mandate.
Welcome guests and clients by greeting them in person and directing them to the correct venue for their visit.
Maintain confidentiality and protect business operations by keeping information confidential.
Complete projects by assigning work to clerical support staff and following up on progress and results.
Liaise with different departmental heads for collection of reports; analyzing and consolidating information into a single document.
Secure information by completing database backups.
Provide historical reference by developing and utilising filing and retrieval systems; recording meeting discussions and ensuring secure storing of these.
Maintain office supplies inventory, by checking stock to determine inventory levels, anticipating needed supplies; evaluate new office requirements, place and expedite orders for supplies, receive and verify delivery of supplies.
Schedule and manage the travel requirements of executives and their clients
Compile proposals and presentations.
Schedule, prepare all required refreshments, stationery and documents for meetings.
Communication interface to clients, direct executives, management and staff.
Management of phone calls/messages and all emails.
Compilation of presentations and proposals (produce presentations according to company formats, including highly complex graphics and using MS Powerpoint / Excel / Word).
